Taste Testings

Abears' Catering Services provides taste testings for all potential clients. Taste testings are available by appointment only and are $15.00 per person for standard testing and $25.00 per person for additional menu selections. The maximum number of guests allowed per taste tasting is four and the menu options will consist of two entrees, two kinds of pasta, two sides, one beverage, one dessert, and one appetizer. The items can be selected from our catering menu and in the event that your item is not listed, there is a possibility it can still be prepared. Please be advised that the taste testing does not consist of full meals, but samples of the pre-selected menu items.

The $15.00 non-refundable fee must be paid prior to the taste testing. In the event that you choose to sign the day of the taste testing the fees will be applied to the cost of your package.


Rentals and Event Planning

Tables, chairs, linens, china, glassware, flatware, and more are available at additional cost. The venue you choose may provide tables and chairs. The final cost of rental equipment is subject to the selection of specific items needed. Delivery charges may apply and are subject to venue accessibility and regulation. Rental equipment and rental delivery charges are subject to applicable sales taxes and an 18% service charge.

Event Planning is available at $50.00 per hour.


Courtesy Dinnerware & Flatware

Each package includes clear plastic dinnerware, flatware, cups, and linen-like napkins. These items are provided as a courtesy ONLY. All other flatware, glasses, and napkins suggested by the client will incur an additional cost. In the event that the client chooses to order or purchase their own dinnerware, flatware, or cups, the client is not entitled to the courtesy items provided Abears'.


Labor Charges and Fees

All catering packages include a standard number of 4 (four) servers and vary based on the number of guests. If additional servers are required there will be an additional charge of $20.00 per hour, per server. These rates are doubled during holidays due to the excessive number of scheduled events. Please inquire with questions regarding specific dates. Our server's fees include delivery, set-up, event service, and clean-up. There is a four-hour minimum per server.


Serving Guidelines

Sit Down Dinner 1 Server per 8 to 10 Guests

Buffet Dinner 1 Server per 15 10 20 Guests

2 Servers per 15 to 20 Guests for food and beverage service


Labor Fees

1 - 199 Guests 4 Servers $250.00

200 - 399 Guests 6 Servers $325.00

400 + Guests 8 Servers $400.00


Taxes

Applicable sales taxes (8.25%) and a 15% service charge are added to all food and beverage charges (service charge is used to offset administrative/breakage/wear/replacement costs). Gratuity is always appreciated, but not required!


Deposits

A non-refundable deposit based on a percentage of the total catering cost is required to secure your date and will be applied to the balance due. If your catering package is $500 or less the security deposit will be 1/2 of the package price. If canceled in writing 30 business days prior to your event your deposit will be applied in full to a future event of equal or greater value.


Guest Count/Menu Changes

For guest counts of fewer than 50 people, there may be an add-on fee to reach our minimum food cost. The client number of guests may be increased but not decreased. The final count is due 30 days prior to the event and all final payments are due 21 business days prior to the scheduled event. Menu selections may be changed and/or count increased up to 30 days prior to the event. Menu changes may increase the price of the event.


Cancellations

In the event of cancellation, the deposit is non-refundable and any money paid towards a catering contract will be charged a 50% cancellation fee based on the amount paid previous to the cancellation. For example, if the contract total is $3500, $500 is the non-refundable deposit, the balance is $3000, $1500 has been paid prior to the cancellation, the refund amount is $750.00. This is negotiable based on the reason for cancellation.


Food From Outside Vendors

Food not prepared by Abears' is not allowed to be served with our catered foods, with the exception of desserts such as wedding cakes purchased from a licensed bakery or our preferred baker.


Delivery

Drop-off delivery fees start at $50.00 and include 15 minutes of set-up time on site. Food may be delivered to the location of your choice. Bulk food will be packaged in disposable containers priced at $1.50 each. Delivery charges are based on a delivery area not more than 10 miles from our location. All charges are subject to applicable sales taxes and an 18% service charge.


Set up and pick up delivery fees (this includes set-up using our non-disposable chafers and other equipment mandated by your menu, and pick-up of said equipment the following business day) start at $150.00. A cash or credit card deposit may be required to assure the undamaged return of our equipment. All charges are subject to applicable sales taxes and an 18% service charge.


Payment Types

Abears' Catering Services accepts Visa, MasterCard, Discover, and American Express, which incur a handling fee of 3.5%. Personal checks are accepted up to 14 days prior to the event and a $38.00 fee will be charged for all returned checks.


Liabilities

Abears' Catering Services assumes no responsibility for property damages occurred by you, your guests, or outside vendors. Abears' assumes no financial responsibility for property damages incurred at the time of your event regardless of where this event takes place, i.e. your home or any outside establishment chosen by you. Abears' is fully licensed and insured.


Miscellaneous Information

Abears' will commit to doing its best to guarantee the quality of foods held or served beyond two hours after set-up time. The client will not hold Abears' Catering Services responsible for food quality for delays on the client's behalf in serving food, or delays due to acts of God, such as bad weather. For the health and safety of our guests, temperature-sensitive foods must remain with the caterer at the end of your event. Non-sensitive foods (cooked items) that remain on the buffet line may be packaged for you to take upon request. Some venues charge an additional fee, typically a percentage of food and beverage sales. These fees will be passed on to the client. 


Abears' does not accept on-site staff provided by the client with the exception of bartenders associated with a licensed and bonded alcoholic beverage provided.


Food Overages

Clients are entitled to any remaining food in the event that the paid headcount is less than expected, with the exception of extra overages provided by Abears'. In the event that the headcount exceeds the paid contract amount, payment for the extra guests will be due by the end of the event.
